Use this quotation checklist to request a current rental rate for the actual facilities, workforce and dates. There is no published US rental price sample or flat delivery tariff on this page. The ZIP code, site access and required servicing must be included in the supplier's assessment.

Equipment

Specify the exact units, usable facilities, fittings and capacity for the proposed workforce and working hours.

Ready for use

Include delivery, unloading, supports, assembly, water and drainage arrangements, electricity and commissioning before work starts.

Throughout the project

Price cleaning, consumables, tank emptying and water replenishment, maintenance, emergency replacement and final collection.

Ask for the charge period, applicable sales taxes, minimum rental, extension and notice terms, and every delivery or collection charge. Commercial rental terms do not change the requirement to provide suitable employee facilities from the start and throughout the work.

The workplace facility requirements that affect the specification

Identify federal OSHA or the approved State Plan covering the employer and work. Construction sanitation and general-industry rules are different. Confirm facilities before work starts and maintain them throughout the project.

Confirm coverage for the employer and the work. Some State Plans cover only state and local government workers; private-sector work in those states generally remains under federal OSHA. Workplace sanitation and building or zoning approvals are separate checks.

Handwashing and task-specific hygiene

Federal construction 1926.51(f)(3) requires lavatories at places of employment, with a specific exception for mobile crews and normally unattended locations having transportation readily available to compliant nearby washing facilities. Lavatories need hot and cold or tepid running water, cleansing products and hygienic drying. Employees handling harmful substances also need adequate washing near the work under 1926.51(f)(1). Hand sanitizer is not a general replacement for required soap-and-water washing.

Specify: Identify supply, drainage, freeze protection and cleaning. If a particular OSHA standard requires showers, 1926.51(f) specifies one shower per ten employees of each sex, or fraction, showering during the same shift. Assess hazardous-work decontamination separately.

Changing and clothing storage

Where a particular OSHA standard requires protective clothing because of toxic contamination, 1926.51(i) requires changing rooms with separate storage for street clothes and protective clothing. Other work may need changing, drying and personal storage following the hazard assessment and state rules.

Specify: Describe contaminants and laundering or disposal procedures, wet gear, privacy and clean/dirty separation. Do not treat an ordinary locker room as an approved lead, asbestos or other specialist decontamination facility.

Meals, breaks and shelter

Federal 1926.51(g) prohibits eating and drinking in toilet rooms and areas exposed to toxic materials. Provide clean, usable arrangements for breaks and meals, and identify state heat, sanitation and employment requirements. The federal sanitation rule does not establish a single national lunchroom floor-area allowance.

Specify: State simultaneous users, furniture, cooling or safe heating, ventilation and cleaning. Keep food and drinking supplies separate from contaminants. Include rest access, shade or cooling and emergency arrangements where required for the actual work and climate.

  1. The units and their equipment

    Purchase price or rental charges for the planned period. Ask for a list of rooms, furniture, heating and sanitary equipment.

  2. Transport and unloading

    Site address, number of trips and lifting method. For rental, ask for a price for delivery and collection.

  3. Preparation and installation

    Supports, leveling, shims, joining the units and access. Make clear what your team prepares and what the supplier does.

  4. Service connections

    Water, drainage and electricity: distance to connections, materials, works and commissioning. Specify any standalone needs.

  5. Use on site

    Utilities, maintenance, refilling and emptying of any tanks. Ask what is included and how often.

  6. End of use

    For rental: dismantling, collection, cleaning, equipment repair and site restoration terms. For purchase: dismantling, relocation or storage if you reuse the units.

Allow separately for conditional amounts

Security deposit, any insurance, deductible, rental extension, repairs and site restoration: ask for the applicable terms and amounts. A refundable deposit is cash you have to put forward; it is not automatically added to the final cost.

For rental, allow for the entire billed period

Confirm the billing start and end dates, minimum rental period and treatment of a partial period. Ask whether a quoted monthly rate uses a calendar month, a four-week cycle or another stated basis; compare the actual number of billed periods.

Rental charges for the period + delivery and collection + installation and connections + services and end-of-rental costs.

Also ask the price for an extra month. If a monthly amount relates to finance with an option to purchase, compare the commitment period, any initial payment and the final purchase price before comparing it with standard rental.

Compare the solutions over the same period of use and with the same equipment. Purchasing may also involve costs between two sites.

For a defined project

Ask for a rental offer with transport, collection and detailed services. Cost an extension if the end date remains uncertain.

For multiple uses

Add to the purchase the transfers, storage, maintenance and adaptations. For used units, ask for details of condition, repairs and equipment actually supplied.

Cost up the purchase

No period of use automatically makes purchase more cost-effective. Base the calculation on planned projects and comparable quotes, without assuming a guaranteed resale.

How do I compare buying and renting?
Compare the same equipment over the same period. Include rental charges, transport and servicing, or purchase, maintenance, transfers and storage. Do not calculate a break-even point from units with different fittings, capacities or services.
Does a used modular jobsite facility cost less overall?
The purchase price alone does not tell you this. Ask about the condition of the units and installations, the equipment included and the work required. Add delivery, set-up and repairs before comparing with a new offer or rental.
Is the security deposit part of the rental cost?
Present it separately in your cash flow budget. If it is refundable, it is not automatically a final expense. Check the conditions for return and any amounts that may be withheld, as well as insurance and any fees.
