Supplier terminology overlaps. Specify the physical unit you want, as well as “mobile office”: a wheeled trailer, a container office or another modular format.
Plan the space
Tell the supplier how many people work there at once, whether you need a private office and how many seats you need for meetings.

Request the actual internal dimensions and a furnished plan. Available sizes vary by region and supplier.
Count everyday workstations separately from occasional visitors. Add the space taken by filing cabinets, a printer, coats and the door swing. If a meeting room doubles as a lunch area, describe that shared use so the proposed furniture and facilities match the working day.
A nominal length is not a furnished capacity. Partitions, entrances and washrooms change the usable layout. Ask for the drawing of the actual unit offered and mark where desks, chairs and equipment will go.
Make the quote complete
Heating and cooling, lighting, outlets, desks, chairs, internet provision and any washroom or kitchenette.
Truck access, placement and support, steps or ramps, power supply and any water or drainage connections.
Monthly charge, minimum term, extension rate, maintenance responsibilities and notice before pickup.
Delivery, setup, equipment, rental for the full period, pickup, extra fees and applicable sales taxes.
Give the location, occupied hours and full rental period, including a possible winter extension. Ask the supplier to confirm the heating, cooling and ventilation package for that use, along with electrical supply requirements. A heater shown in a photograph does not specify the complete installation.
For a washroom, establish who provides water, drainage, servicing and any seasonal protection. Clarify access maintenance, snow clearing around entrances and who to contact if equipment stops working. Keep these responsibilities in the rental scope.
Budget the whole project

Compare totals in CAD including applicable sales taxes for the same scope and dates. Show a refundable deposit separately. Confirm the minimum term, billing period and extension rate; a “monthly” price alone does not explain a partial month or an early return.
If the end date is uncertain, ask how much notice is needed to extend or end the rental. Record who books pickup and whether charges continue until pickup, an agreed off-rent date or another contract milestone.
Delivery is one step

Send access photos and a placement plan. Check gate width, turns, overhead obstacles and the space for unloading. Agree supports, entrance orientation and any site preparation with the supplier.

Schedule setup and utility connections as well as delivery. Check the supplied equipment against the order and record the condition. Get operating instructions and a service contact before staff move in.

Give the required notice, remove personal equipment and agree disconnection responsibilities. Keep the pickup route clear. Review the condition and returned furniture with the supplier.
